Employment Opportunity  -  Office Manager

 

Parkdale United Church is inviting applications for the position of Office Manager. This is a full-time position - 30 hours /week.

The church is located on Parkdale Avenue, just west of downtown Ottawa, with easy access to major bus routes as well as free parking.

 

The individual in this position is often the first point of contact with the church and deals with the overall management of the office, responds to community inquiries, assists newcomers, answers rental inquiries, and contributes to ensuring that the church is always welcoming.

 

Responsibilities

 

The incumbent is responsible for a wide variety of administrative and office duties in support of the church’s three Ministers and Council. Duties include but are not limited to:

  1. Office management 

a.      Responding to the secretarial and administrative needs of ministerial staff as required.

b.      Answering the telephone, receiving visitors, responding to emails.

c.       Receiving and distributing mail; managing outbound mailings.

d.      Maintaining records of money received for space rentals and from other sources.      

e.       Coordinating the administrative aspects of baptisms, church membership, weddings and funerals.  

f.       Maintaining and updating the general bulletin board communications.

g.      Coordinating volunteer assistance in routine office work such as mailings, collating service bulletins and The Messenger - the monthly newsletter.

h.      Maintaining and ordering office supplies.

i.        Maintaining and updating databases and mailing lists.

j.        Maintaining records for the Benevolent Fund program.

2. Bulletin preparation

a.      Preparing the weekly Sunday worship bulletin in consultation with the ministers.

b.      Preparing bulletins for special services including funerals.

3. Assembling and distributing the Church Annual Report.

4. Managing the booking of space in the building and maintaining the master calendar of bookings, according to the Use of Premises regulations.

5. Providing administrative support to the Property Trustees Committee:

a.   Attending Trustees meetings.

b.   Acting as liaison between Trustees and evening custodians. Preparing and distributing all custodians' schedules, recording hours worked and submitting time sheets for payment.

c.   Monitoring work of the Kitchen Chatelaine.

d.   Acting as liaison between Trustees and groups using church facilities as required.

e.   At the direction of the Trustees, distributing church keys, signing forms and maintaining a record of key distribution.

6. Attending weekly staff meetings and taking notes as required.
